Terms of Service for InvoiceAI

Plain Language Summary

InvoiceAI is a beta invoicing tool. You're responsible for the accuracy of your invoices and tax compliance. We use Paddle for payments. Subscriptions auto-renew but you can cancel anytime. We may update the service frequently. Your data is yours, and you can export it anytime.

1. Accounts

When you create an account with us, you must provide information that is accurate, complete, and current at all times. You are responsible for safeguarding the password that you use to access the Service and for any activities or actions under your password.

2. Beta Service

You acknowledge that the Service is currently in a beta version and is provided "as is" and "as available". The Service may contain bugs, errors, and other problems. We do not guarantee that the Service will be available at all times or that it will be free of defects. We reserve the right to modify or discontinue the Service at any time without notice.

3. Use of Service

You agree not to use the Service for any purpose that is illegal or prohibited by these Terms. You are responsible for all of your activity in connection with the Service, including the accuracy of the financial data you input.

Important: InvoiceAI is a tool to assist with invoicing and expense tracking. You are solely responsible for ensuring the accuracy of your invoices, calculations (including taxes), and compliance with all applicable laws and regulations. We provide tools, not financial or tax advice.

International Tax Compliance: While Paddle (our payment processor) handles VAT/GST collection and remittance for subscription payments, you remain responsible for all tax obligations related to your own business invoices and transactions.

4. Subscriptions and Billing

Payment Processing

Some parts of the Service may be billed on a subscription basis. All payments are processed by Paddle, our payment processor and Merchant of Record. By subscribing, you also agree to Paddle's terms of service.

  • Paddle processes all payment transactions on our behalf.
  • Paddle handles VAT/sales tax collection and compliance for your subscription fees.
  • Payment disputes and chargebacks are managed through Paddle's systems.
  • Your billing information is stored securely by Paddle (we do not store payment card details).

Subscription Terms

  • Your Subscription will automatically renew under the exact same conditions unless you cancel it or we cancel it.
  • You will be billed in advance on a recurring and periodic basis ("Billing Cycle").
  • You can cancel your subscription at any time through your account settings.

5. Refund Policy

We strive to provide a valuable service, and we want you to be happy with your subscription. Here is our policy regarding refunds:

  • General Policy: Subscription fees are billed in advance on a monthly basis and are non-refundable. We do not provide refunds or credits for any partial-month subscription periods or unused services.
  • Cancellation: If you cancel your subscription, you will retain full access to the Pro features until the end of your current billing period. You will not be charged again after that period ends.
  • Exceptions: We believe in being fair. Refunds may be considered on a case-by-case basis under specific circumstances, such as a billing error on our part, a significant service outage, or accidental renewals (if you contact us within 72 hours of the transaction).
  • Jurisdiction-Specific Rights: In some jurisdictions (particularly the EU), Paddle's refund policies or consumer protection laws may provide additional rights that override this policy.

How to Request a Refund: To request a refund, please contact our support team at beconnected194@gmail.com with your account details and the reason for your request. All refund requests will be reviewed, and we reserve the right to grant or deny them at our sole discretion.

6. Service Availability and Changes

We reserve the right to:

  • Modify, suspend, or discontinue the Service (or any part thereof) at any time.
  • Update features, functionality, or technical requirements with reasonable notice.
  • Perform maintenance that may temporarily affect service availability.

For MVP Development: We may frequently update and improve the Service. While we'll notify users of major changes, minor improvements and bug fixes may be implemented without advance notice.

7. Termination

We may terminate or suspend your account immediately, without prior notice or liability, for any reason whatsoever, including without limitation if you breach the Terms. Upon termination, you may export your data for 30 days.

8. Intellectual Property

The Service and its original content, features, and functionality are and will remain the exclusive property of InvoiceAI and its licensors. Your data (invoices, client info, expenses, etc.) remains your own property. You grant us a limited license to process your data solely to provide the Service.

9. Limitation of Liability

IMPORTANT DISCLAIMER: To the extent permitted by law, in no event shall InvoiceAI, nor its directors, employees, partners, agents, suppliers, or affiliates, be liable for any indirect, incidental, special, consequential or punitive damages, including without limitation, loss of profits, data, use, goodwill, or other intangible losses, resulting from your access to or use of or inability to access or use the Service.

  • We are not a financial advisor or tax professional.
  • The Service is provided for informational purposes only.
  • You are solely responsible for your financial decisions and tax compliance.
  • Our total liability shall not exceed the amount you paid us in the 12 months preceding the claim.

Note: Some jurisdictions do not allow the exclusion or limitation of liability for consequential or incidental damages. In such jurisdictions, our liability will be limited to the maximum extent permitted by law.

10. AI Features Disclaimer

Our AI-powered features (expense categorization, client insights, invoice note generation) are provided as assistance tools only. AI suggestions may be inaccurate and should always be reviewed before use. You are responsible for verifying all AI-generated content. AI features depend on third-party AI services. If these services become unavailable, AI features may be temporarily disabled without affecting core invoicing functionality. We will notify users of any extended AI service disruptions.

11. Data Export and Portability

You can export your data at any time in standard formats (CSV, PDF). Upon account cancellation, your data will be available for export for 30 days, after which it will be permanently deleted.

12. Governing Law

These Terms shall be governed and construed in accordance with the laws of South Africa, without regard to its conflict of law provisions. For users in the EU, certain consumer rights under EU law may also apply.

13. Changes to Terms

We reserve the right, at our sole discretion, to modify or replace these Terms at any time. For material changes, we will provide 30 days' notice via email and in-app notification. Minor changes will be posted on this page with an updated "Last Updated" date. Continued use after changes constitutes acceptance.
